Users Guide for the Advanced Research Infrastructure for Materials and Nanotechnology in Japan (ARIM) Project



Eligibility to Submit Proposals

Research proposals can be submitted by researchers belonging to universities, private companies, and public research institutes. Note that students are not eligible to apply.

Regular Call for Proposals

The Japan Atomic Energy Agency (JAEA), as an implementing agency of the ARIM project, offers its facilities and equipment for wide-ranging use.
Regular call for proposals will be made twice a year, around November for the first half of the next fiscal year (A term), and around May for the second half of the current fiscal year (B term).
In addition to the above, we also conduct an independent project (Program of JAEA Facilities), including a trial use system for first-time company-affiliated users. Please feel free to contact us for further information.Information is also posted on the JAEA Rsearch and Development Promotion Department website.

How to Apply

Please fill out the JAEA application form and submit via email to JAEA Rsearch and Development Promotion Department at renkei.shisetsu[at]jaea.go.jp.

Fees

You are required to pay usage fee to use the JAEA synchrotron radiation facilities. Usage fee consists of the following. Note that consultation is free of charge.

01Handling Fee
“Handling fee” of 13,300 yen will be charged for each proposal.
02Facility Operating Expenses

The unit price for” Facility Operating Expenses” is determined for each usage type.

There is no difference depending on the usage form or the apparatus used. “Facility Operating Expenses” are calculated according to the usage time in units of 1 shift (= 8 hours).

The ARIM project supports non-proprietary research proposals (general proposals/priority use proposals).
However, if the requirements for disclosure of results are not met, the difference between the fee for proprietary proposals and non-proprietary proposals may be additionally charged. It is possible to change from non-proprietary proposals to proprietary proposals within 60 days after completion of experiment and within the fiscal year.

“Facility Operating Expenses” will be reviewed and revised every three years.

03Additional Expenses

Generally, actual costs and indirect costs will be charged only when special expenses are required in accordance with the user's request. When using liquid helium, you will be additionally charged for cryogen, so please consult with the beamline scientist / JAEA administrative office /person in charge of acceptance in advance.

The main additional expenses are the provision of services such as operation of equipment, expenses related to technical guidance on methods for operating equipment, methods for preparing experimental samples, methods for analyzing experimental data, expenses for using facilities other than the shared facilities, transporting samples, arranging consumables, etc..

At the start of use, the person in charge of the facility/equipment will explain how to operate the equipment and safety precautions, but any other requests for assistance from JAEA staff will be charged as an additional expense.

The cost will be determined according to the level of the staff who will actually support you (direct personnel cost unit price table (in Japanese)) and the corresponding time, so please confirm with the person in charge of the facility/equipment in advance. Note that this fee will be waived if the JAEA staff co-authors a research paper.

Priority Use

Users who have obtained public competitive funding (total amount of grants of 20 million yen or more), such as Grants-in-Aid for Scientific Research, and wish to use JAEA's synchrotron radiation experimental equipment based on their proposal, can apply for Priority Use. By paying a part of the fee, the equipment can be used with “priority” without going through the JAEA-QST joint proposal review committee.

Advance Consultation

Before applying for beamtime, please discuss the technical details thoroughly with the JAEA beamline scientist of the beamline you plan to use.
Proposals involving fire are not be implemented in the RI Laboratory Building. Please check with the Beamline Scientist whether your proposal involves fire.

Multiple Proposal Submissions

Multiple proposal applications with SPring-8 public beamline proposals or other synchrotron radiation facility proposals is not prohibited, but if your JAEA proposal has been accepted, please refrain from canceling without a justifiable reason.

Proposal Review

Research proposals will be reviewed by the JAEA-QST joint proposal review committee, and determined the acceptance or rejection of proposal and the allocated shifts. There is no review process for Priority Use proposals. Applicants will be notified by the JAEA administrative office of the review results.

Facility Use Agreement

In order to use JAEA's synchrotron radiation facilities, you must agree to the "Facility Use Agreement (in Japanese)".

Facility Use Application Form

After approval of your proposal, you will be required to submit the “Facility Use Application Form (in Japanese)”. Before creating the form, please read JAEA's "Facility Use Agreement (in Japanese)" , " Special Clauses for JAEA-ARIM" and "Response to misconduct in research and development activities (in Japanese)".

Validity Period of Proposal

The validity period of the proposal is within the fiscal half year of the application period. However, if it cannot be carried out during the relevant period due to equipment failure, etc., it may be postponed to the next term or later.

    Use of Contract Beamline

    First, please visit the page "Usage of Contract Beamline" of the "SPring-8 User Information" website for an overview.

    User Registration

    User registration is required for first-time users of SPring-8. Please register from the "User registration page".

    Use Plan

    The project leader can submit the Use Plan via the SPring-8 User Information website. Please login to My Page, and submit the Use Plan based on the approved research proposal.

    After carefully reading JAEA’s "Facility Use Agreement (in Japanese)", "Special Clauses for JAEA-ARIM" and "Response to misconduct in research and development activities," download the form "Synchrotron Radiation Research Facility (in Japanese)" under "Facility Use Application Form." Please fill in the necessary information, affix the seal or signature, and submit all four sheets (original paper) to the following JAEA administration office address.

    * Submission deadline is 3 weeks prior to the start of the experiment.
    * After we receive the document, we will send you a letter of acceptance.

    When foreigners (including residents) and non-resident Japanese visit SPring-8 using the Shared-Use Program of JAEA Facilities, in principle, submission of “Foreign National Visit Proposal” (VP), is required. Please fill in Parts A to C of VP Form 3-1 and submit to the JAEA administration office. The submission deadline is 3 weeks prior to the visit.

    * The form will be sent to you by the JAEA administrative office.

    Please complete and submit the " Radiation Worker Application Form (Form 5-1)" from "Procedures before Start of Experiments at SPring-8" in the SPring-8 User Information website. This document is required for those who will use SPring-8 for the first time after April 1, 2024. It is valid within the fiscal year. Note that from January 2022, submission via the web system is possible.

    * Submission deadline is 10 days prior to the first visit to SPring-8 of the fiscal year (must arrive).

    * For those who enter the RI Laboratory Controlled Area, you are required to take JAEA's "Education and Training for Facilities with A little Amounts of Nuclear Fuel Material" via e-learning in addition to the regular radiation worker education course.

    Forms “Application Form for SPring-8 Facilities [Form 10],” “List of Samples, Reagents, etc. [Form 9],” and, if necessary, “List of Carry-In Items [Form 8]” are to be submitted online via the SPring-8 User Information website before each visit to SPring-8. Proceed to "Procedures before Start of Experiments at SPring-8" and start by selecting "Application Form for SPring-8 Facilities (Form 10)."After submission of Form 10, proceed to “List of Samples, Reagents, etc. (Form 9),” and if you have any items to bring, also submit “List of Carry-In Items (Form 8).” The JAEA administrative office will contact you regarding the arrival procedures: Radiation safety training, confirmation of personal dosimeter of home institute, receipt of SPring-8 dosimeter and User Card, about Guest House reservations, etc..

    * The submission deadline is 10 days before each visit.
    * If changes occur after submission of the application forms, please contact the JAEA administrative office (harima-beam[at]ml.jaea.go.jp) as soon as possible.

    When making a reservation for the Guest House, please check the "Room Availability (in Japanese)". Reservations can be canceled up to 16:00, two days before check-in. After that, an amount equivalent to the usage fee will be collected.

    When you need to visit SPring-8 for experimental setup etc., please submit the forms "Application Form for SPring-8 Facilities (visits for experimental setup) [Form 10]," "List of Samples, Reagents, etc. (visits for experimental setup) [Form 9]," and, if necessary, "List of Carry-In Items (visits for experimental setup) [Form 8]." For details, please visit the page "Procedures before Start of Experiments at SPring-8" in the SPring-8 User Information website, and select the Visit Type "Visit for Non-Proposal." The JAEA administrative office will contact you regarding the arrival procedures.

    * The submission deadline is 10 days before each visit.
    * If changes occur after submission of the application form, please contact the JAEA administrative office (harima-beam[at]ml.jaea.go.jp) as soon as possible.

    Regarding bringing in radioactive materials, laser equipment, and high-pressure gas, please consult with the beamline scientist in advance and make arrangements before submitting the required documents. For details, please refer to "Procedures before Start of Experiments at SPring-8 User Information website.

    * The submission deadline is from 30 days to 2 weeks before the start of the cycle of each visit.
    * Please note that you may not be able to use the items if the submission deadline is not met.

    Please follow the arrival procedures based on the contact from the JAEA administrative office. Please be sure to bring the dosimeter provided by your home institution and present it at the RIKEN Radiation Control Office (North Building). Users affiliated with overseas institutions are exempted from this rule. When leaving SPring-8, please return the user card and SPring-8 dosimeter to the North Building. Note that online submission of the “Notification of Completion of Beamtime (Beamtime Report) [Form 12]” is not required for JAEA beamline users.

    Guest House

    Checking in at the Guest House Front Desk is from 16:00 to 23:30, and checking out is from 7:00 to 10:30. If you will be arriving after the scheduled check-in time, please be sure to contact the Front Desk by 23:30 at +81-(0)791-58-0933 (Ext. 8181, 8182). Late arrival without notice may result in cancellation of your reservation.

    Cancel Policy

    Please contact the JAEA administrative office in case of change or cancellation as soon as possible.
    Reservations can be canceled up to 16:00, two days before check-in.
    After that, an amount equivalent to the usage fee will be collected.

    The invoice for the usage fee (including handling charges) will be sent to you after the experiment.

    * Usage fees are calculated in units of 1 shift (8 hours). Any downtime of less than 8 hours will be considered 1 shift.
    * If you need an itemized invoice (breakdown), please contact the JAEA administrative office.

    Please submit the SPring-8 Experiment Summary Report [Form 26] within 60 days after the end of the research term via the SPring-8 User Information website. Log in to My Page and select “SPring-8 Experiment Summary Report.”

    * Please use the SPring-8 proposal number (2024Bxxxx).

    Please submit the User Report within 60 days after the end of the research term via email to the JAEA administrative office at harima-beam[at]ml.jaea.go.jp. The form will be sent to you by the JAEA administrative office. Submission of this report is substituted for the submission of the ARIM project user report.

    * The title of the report should be the title of the research proposal. If you wish to change the title, please submit a statement of reasons.
